Privacy Statement

We would like to provide you with information concerning the collection of personal data when using the Kelvion Holding GmbH Internet portal below. You can use this portal to obtain information about our company and our products, direct general queries to us, order products from our online shop and send enquiries regarding Kelvion products to us that you previously configured using one of our configuration tools.

Personal data refers to all data that can be linked to a person such as name, address, e-mail addresses, user behaviour.

Data privacy is extremely important to Kelvion and we attach great value to protecting your personal data. We will provide you with information concerning the collection, processing and use of your data below.

1. Responsible body

The responsible body according to Art. 4, Para 7 of the EU General Data Protection Regulation (GDPR) is Kelvion Holding GmbH, Von-der-Heydt-Str. 2, 44623 Herne, Germany (please see our Imprint). 2. Type and purpose of data use and storage

It is possible to visit our websites without registering or providing other data. However, you will then not be able to send any general enquiries or requests for a non-binding offer to us or to order products from our online shop. In such a case, we only collect the following personal data that your browser transmits to our server:

  • IP address
  • Content of the request (concrete page)
  • Website from which the request comes
  • Browser
  • Operating system and its interface
  • Version of the browser software

It is a technical requirement for us to collect this data so that we are able to display our website to you as well as to guarantee you stability and security (the legal basis is Art. 6, Para. 1 S. 1 lit. f of the GDPR).

We only temporarily save your IP address during your use procedure; no user-related evaluation is performed.

In addition to the aforementioned data, cookies are saved on your computer when using our website. Please refer to the section entitled "use of cookies" contained in these data privacy regulations.

When contacting us via e-mail or the contact form, we save the data that you provide (your e-mail address as well as, potentially, your name and telephone number) so that we are able to answer your questions. We delete the data that we collect within this framework as soon as it is no longer necessary for use to save it or we restrict the processing of it if there are legal obligations for us to retain it.

Logging on as a registered customer to one of our configuration tools requires the collection, saving and use of the following personal data

  • Your name
  • You company name, industry and address
  • Your Company e-mail and phone number
  • The link to your LinkedIn profile, in case you chose this service for registration

Other data which can be linked to you should also be considered personal data. Examples include your individual configuration of Kelvion products or your username, the associated password and the date and time of your last login.

If you would like to place an order in our online shop, you are required to provide your personal data that we need to process your order so that we can conclude the contract. The mandatory information required for the processing of the contract is highlighted; further details are voluntary. We only process the data that you provide in order to process your order. For this purpose, we can forward your payment data to our house bank. The legal basis for this is Art. 6, Para. 1 S. 1 lit. b of the GDPR.

The order process is encrypted using TLS technology in order to prevent unauthorised third parties from accessing your personal data, especially financial information.

Due to commercial and tax provisions, we are obliged to save your address, payment and order data for a period of ten years once you have placed an order. However, we restrict processing of this data after a period of two years. This means  your data will only be used to comply with legal obligations.

You can also voluntarily create a customer account without placing an order. In this case, we revocably save the data which you provided by creating an account under "My Account". If you are yet to place an order, you can delete your user account yourself at any time.

3. Transmitting personal data to third parties

If we use an external service provider in order to process your enquiry, this is performed on our behalf within the context of contract data processing. Personal data is only transmitted to third parties if this is required to initiate or process the contract or you have provided explicit consent to this beforehand.

If you send us general enquires or enquiries regarding Kelvion products that you have previously configured on one of our configuration tools, you consent to your provided personal data being transmitted to the respectively applicable Kelvion Group company. This company will only use your personal data for the stated purposes stated in these data privacy regulations.

4. Newsletter

With your consent, you can subscribe to our newsletter that we send to you to notify you about our products or current offers or provide you with e-mails containing technical information.

The only mandatory disclosure required for the delivery of the newsletter is your e-mail address. Following your confirmation, we save your e-mail address in order to deliver the newsletter. The legal basis is Art. 6, Para. 1 S. 1 lit. a of the GDPR.

You can withdraw your consent to the delivery of the newsletter at any time and unsubscribe to the newsletter. You can clarify the withdrawal by selecting the respective option in your account, by clicking on the link provided in each newsletter e-mail or by sending a message to the contact address provided in the imprint.

We use the data obtained in this manner to create a user profile in order to provide you with a newsletter that is tailored to your individual interests. In doing so, we record when you read our newsletter, which links you click on in the newsletter and use this information to derive your personal interests. We link this data to your actions on our website. You can withdraw consent to this tracking at any time by clicking on the special link provided in each e-mail or by contacting us via other means. The information is saved for as long as you subscribe to the newsletter. Once you have unsubscribed from the newsletter, we only save your data statistically and anonymously.

5. Use of cookies

We use "cookies" on our site in order to make your visit to our portal as enjoyable as possible.

Our web site uses web fonts and MyFonts Counter, both services provided by MyFonts Inc., USA, a company of Monotype Imaging Holdings Inc., USA. 7. Use of social media plug-ins

We currently use the following social media plug-ins: LinkedIn, Facebook, Twitter, Xing.

In doing so, we use the so-called two-click solution. This means that when you visit our site, no personal data is initially forwarded to the plug-in provider in principle. You can recognise the provider of the plug-in by the marking on the box above its initial letter or the logo. We offer you the possibility to communicate directly with the provider of the plug-in via the button. Only if you click on the highlighted field, thus activating it, will the plug-in provider receive the information that you have accessed the corresponding website of our online presence. Furthermore, the data mentioned in the last paragraph of this section will be transmitted. In the case of Facebook, the IP address is anonymised immediately after collection according to the respective provider in Germany. By activating the plug-in, the personal data is transmitted from you to the respective plug-in provider and stored there (in the USA when dealing with US providers). As the plug-in provider primarily collects data via cookies, we recommend that you delete all cookies before clicking on the greyed box using your browser's security settings.

We have no influence on the data collected and data processing processes nor are we aware of the full extent of data collection, the purposes of processing or the storage periods. Furthermore, we do not have information on the deletion of the data collected by the plug-in provider.

The plug-in provider saves the data collected about you as user profiles and uses these for the purposes of advertising, market research and/or demand-oriented design of its website. Such an evaluation particularly takes place (also for non-registered users) for the representation of appropriate advertising and in order to inform other users of the social network about your activities on our website. 8. Incorporation of YouTube videos

We have integrated YouTube videos in our online presence which are stored at www.YouTube.com and are directly playable from our website. All videos are integrated in "extended data protection mode". This means that no data concerning as the user is transmitted to YouTube if you do not play the videos. The data stated in Paragraph 2 is only transmitted if you play the videos. We have no influence over this data transmission.

By visiting the website, YouTube receives the information that you have retrieved on the corresponding sub-page of our website. Furthermore, the data mentioned in the last paragraph of this section will be transmitted. This takes place regardless of whether YouTube makes a user account available via which you are logged on or whether a user account exists. If you are logged in with Google, your data will be directly assigned to your account. If you do not want assignment to your profile with YouTube, you must log off before activating the button. YouTube saves your data as user profiles and uses them for purposes of advertising, market research and/or demand-oriented design of its website. Such an evaluation particularly takes place (even for non-registered users) for the provision of appropriate advertising and in order to inform other users of the social network about your activities on our website.
